Volunteer positions
- Committee members are volunteers.
- The role of the committee is to run the group.
- Individual positions are flexible depending on the skill set of the volunteer.
Committee Structure
The committee consists of 5 positions, President, Secretary, Treasurer and two Committee Members.
Set out below are the various tasks presently performed by each person.
President
Responsible for the overall operation of the association – the committee meets monthly with an agenda for forward planning of events and to deal with any current issues. The President presides over these meetings.
- Arranges Guest speakers – Shared Responsibility.
- Meets and greets weekly guests.
- Manages the introduction of new members to the group and ensure there is no conflict with existing members.
- Sends out the link to Application Form to prospective members and follows up.
- Vet and accept /reject new members and provide Treasurer with details of new members for the preparation of invoice for fees.
- Remove members who are not meeting attendance or other NBG requirements.
- Contacts members who miss meetings without an apology.
- Signs off on AGM documents and annual returns to Consumer Affairs.
- Manages Social Media enquiries.
- Attends monthly committee meetings.
Secretary
- Responsible for communicating weekly meeting details and sending MailChimp communications.
- Keeps track of members who don’t attend and don’t send an apology.
- Prepares/maintains speakers list. Maintains master member list and updates as required each week to record apologies -assistance from treasurer available.
- Estimates number of breakfasts each week, orders breakfast and pays venue on the day
- Mark off attendance record each week.
- Attends monthly committee meetings.
- Takes minutes of committee meetings and circulates to the committee.
Treasurer
- Manages the finances for the group.
- Provides reports for annual audit and AGM Reports as and when required.
- Pays any invoices received and reconciles credit card payments.
- Assists with arranging functions.
- Attends monthly committee meetings.
Committee Members
Represent the interests of members and any feedback regarding NBG activities can be raised with a Committee Member.
Committee Member #1
- Provide input to committee on issues or concern to members.
- Liaise with Secretary, keeping MailChimp and website content up to date. This includes events calendar and members’ business page information.
- Sends email to new members:
- requesting content for the Members Business Directory
- providing password protected web page with Members Only information
- Liaise with members to keep the website’s Members Directory up to date.
- Provides social media marketing support.
- Organises Social Media Helpers for the online marketing of the group.
- Prepares material for inclusion on the website.
- Oversees NBG website: liaise with service providers to ensure the website’s software and hosting is up to date.
- Attends monthly committee meetings.
Committee Member #2
- Provide input to the committee on issues or concern to members.
- Maintain the record of all internal/external referrals. Info used for Annual Presidents Report and Web Site.
- Coordinate Functions as and when required.
- In charge of setting up equipment: banner, projector, laptop.
- Helps members setting up weekly business presentations.
- Attends monthly committee meetings.
- Timekeeper each week for speaker’s presentations.
Chairperson
Each week a different member chairs the meeting on a rotational basis. This has proven popular with members and helps build the confidence of those who are not usually exposed to this situation.
Responsibilities of the Chairperson includes:
- Follow the provided agenda guideline.
- Circulate Business card box each week. Ask members to ensure their business cards are in the box.
- Keep the group to the timetable. Stop lengthy discussions.
